1. Bookings
Warren Farm Accommodations only accepts bookings from persons over 18 years of age. We reserve the right, always – without a statement of reasons – to refuse a booking. Warren Farm Accommodations will confirm the booking via email, and you will receive a Payment Request within 24 hours. The confirmation and invoice must be checked immediately on receipt for any errors. Possible or claimed inadequacies must always be notified by email or phone within 10 days following the date of the confirmation/invoice and in any case before the start of the stay. If within 10 days after the booking, you are not in possession of a confirmation and invoice, then you must get in touch with Warren Farm Accommodations.
Warren Farm Accommodations reserves the right to rebook a competition winner: Warren Farm Accommodations offers an alternative date for the re-booking, but the competition winner will not be entitled to any compensation.
2.Group bookings
It is the right of Warren Farm Accommodations to refuse group bookings if we feel this may be of detriment to other guests staying on the farm. We may ask single sex groups (i.e. hen or stag parties) to take over all the accommodations for the duration of their stay. In the case of an enquiry regarding groups please call +44 (0) 1761 463558. A group discount could be applicable subject to availability and occupancy.
3. Prices
The prices on www.warrenfarmsomerset.co.uk are not binding; Warren Farm Accommodations reserves the right to modify these prices. At the time of booking, you will be informed of the prices applicable. The price stated on the confirmation/invoice is binding unless there is an obvious error. Discounts and/or special offers can no longer be used after the confirmation/invoice has been sent by Warren Farm Accommodations. We reserve the right to refuse bookings which have obviously wrong prices.
4. Accommodation Rental
Please note that the accommodations are in a rural setting on a working farm.
There is the possibility that insects or other creatures may get into the accommodations, by booking with us, you accept this possibility as being part of the outdoors experience.
The ground around the accommodations may at times be wet or uneven, whist Warren Farm will make every endeavour to ensure your safety you must be aware and prepared for such eventualities.
Unless stated separately on the booking page, our accommodations are all built and equipped to the same high standard, therefore a booking does not entitle you to a particular accommodation. Should you wish, and upon us receiving and acknowledging a written request from you, we will try to place you in your requested accommodation, but we may not always be able to do so.
In the rental price of every tent the following is included:
- Rental of accommodation and the pitch.
- Kitchen linen.
- Bed linen (one set per person booked)
- Towels (one hand towel and one bath towel per person booked)
- Use of and access to the designated facilities.
- Water in the accommodations and shower/toilet facilities.
- Designated amount of wood for the stove (wood for campfires is not included)
- VAT according to the guidelines of the VAT administration.
- Final clean up.
Not included are, among other things:
- Electricity (it is possible to charge your appliances in our farm shop, subject to reasonable usage).
- There is no electricity in the accommodations.
- Washing of the dishes.
- Collection of and stripping of bed linen.
- Emptying bins and putting rubbish into a waste bag and placing it in a container.
- Sweeping of the floor.
5. Dogs
Well behaved dogs are allowed (please check main booking page), we also have a small complementary dog exercising paddock. They must be kept under control and on a lead around the site during your stay. Please remember, not everyone likes dogs. The site is strictly a poop and scoop area. Please check the information on the booking page. When dogs are allowed, a maximum of two dogs per accommodation is applicable. At the time of booking and at arrival on the farm, the dogs must be reported. There is a surcharge applicable per dog per night, please see main booking page. Warren Farm Accommodations accepts no liability or responsibility for the actions or behaviour of any dog staying on the site, that rests solely with the owner of the dog. If a dog does cause a nuisance or you arrive without pre-booking a dog, we reserve the right to ask that you take your dog to a local kennel.
6. Payments
Booking payments can be made in two stages. The deposit must be paid at the time of booking and the rental contract including the regulations regarding cancellation are applicable as soon as the deposit payment has been received ( which must be within 48 hours). The balance of the booking amount must be in possession of Warren Farm Accommodations at the latest, 10 weeks before the start of your stay. In the event of bookings made within 10 weeks before the start of your stay the entire booking amount must be paid immediately.
In the case of late or incomplete payment of the amounts invoiced to you, you are in default. Warren Farm Accommodations will send you a reminder of payment. If the amount, within 14 days after the date of the reminder is not yet in possession of Warren Farm Accommodations, then we are entitled to unilaterally annul the agreement by means of an e-mail to the guest. You are responsible for all damages which Warren Farm Accommodations suffers or will suffer because of this, as well as all costs which Warren Farm Accommodations has made regarding your booking and the cancellation. In any case you are chargeable for a cancellation compensation of 30% of the booking amount in the case of cancellation more than 10 weeks before the planned commencement date of the stay and equal to the total booking amount in the case of cancellation within 10 weeks before the commencement of the stay. Monies already paid will be settled with the cancellation compensation to pay and the possible chargeable compensation of other damage. If nothing has been paid at that point, the aforesaid amounts will be charged.
7. Alteration costs
If, after confirmation of the booking, you would like to make some alterations to the booking, Warren Farm Accommodations is not obliged to satisfy these requests. It is at the discretion of Warren Farm Accommodations whether, and to what extent, these alterations will be accepted. For each modification in a booking already made, up to a maximum of 4 weeks before arrival, we will charge you £55 alteration costs. Alteration for extras will be charged of £15. These costs will not be charged if you add a booking or change it to a more expensive period. In the case of an alteration to a cheaper period or (partial) cancellation within a period of 4 weeks before the start of the stay, you are chargeable for the entire booking amount. If, after confirmation of the booking of more than one tent, you want to reduce the number of booked tents, the cancellation provisions will be applicable. In principle, alterations cannot be permitted within 4 weeks prior to arrival.
Amendments to a booking should be supplied to us by the main booker. We won’t process any amendments from non-bookers.
8. Cancellations
Please make use of the cancellation insurance option.
Warren Farm Accommodations do not operate a so-called ‘cooling off period’ (a period after a sale contract is agreed during which the buyer can cancel the contract without incurring a penalty).
We strongly advise the booker to take out cancellation insurance on your trip. In all events the following provisions apply:
In the event of a cancellation more than 10 weeks before the commencement of the stay, the full deposit (which is 30% of the amount with a minimum of £150) is payable.
In the event of cancellation within 10 weeks before the start of the stay, the full amount is payable.
In the case of premature termination of the stay, the entire booking amount is payable.
Don’t forget your travel insurance. We recommend that you take out cancellation insurance on your trip.
9. Arrival and departure
Warren Farm Accommodations will contact you prior to your arrival with a welcome email containing helpful hints and tips, please do read this fully.
You have access to the accommodation from 4pm on the day of arrival. Kindly note that Warren Farm Accommodations check-in time is between 4pm and 6pm. It is in your own interest not to arrive late, but should you be unavoidably delayed, please contact us directly, details of which can be found in your welcome email.
Please read the safety instructions in your welcome document prior to arriving on site.
It is your responsibility to familiarize yourself with the safety instructions communicated both prior to arrival and those given on-site.
On the day of departure, you must vacate the accommodation by 10.30am. We reserve the right to charge an extra fee of 30GBP for any time later than this without prior approval. This charge could increase to 60GBP if we find the accommodations have not being left in the proper condition.
10. Domestic regulations
Warren Farm Accommodations will try to make your stay on the farm as pleasant as possible, all guests must keep to the determined rules of behaviour laid down in the Domestic Regulations. You can ask for the Domestic Regulations on arrival. Breaching the Domestic Regulations can lead to removal from the farm without a refund of the rental sum or a part of it. Warren Farm Accommodations reserves the right to make alterations in the set-up and opening hours of the facilities and supplies on the farm. We would also bring your attention to the fact that it is possible that maintenance activities will be carried out during your stay on the grounds or to the accommodation(s) without you being entitled to any compensation.
11. Force majeure
Force majeure as interpreted by Warren Farm Accommodations exists if the implementation of the agreement is entirely or partially, temporarily or permanently, prevented due to circumstances which are beyond the control of Warren Farm Accommodations, including threat of war, staff strikes, blockades, fire, floods, high winds and other disruptions or events. Warren Farm Accommodations are within their rights to close the location when we consider such circumstances as these make it necessary.
12. Liability
Warren Farm Accommodations accept no liability for:
Theft, loss or damage, of whatever nature, during or as a result of a stay.
Falling into defect or putting out of action of technical equipment and loss or closure of supplies on the farm.
The booker and those who accompany him/her, are jointly and severally responsible for all loss and/or damage which arises, for Warren Farm Accommodations and/or any third party as a direct or an indirect consequence of their stay, irrespective of whether this was caused through actions or refraining from actions by themselves or by third parties, who are at our farm through their making, as well as of all damage which is caused by any animal and/or matter which they have under their responsibility.
If you leave your accommodation in an improper condition, Warren Farm Accommodations are entitled to charge an extra fee of 30GBP of additional (cleaning) costs. This can double to 60GBP in combination with a late departure.
Dishes should be washed, bed linen stripped and collected, floor swept, and bins/recycling emptied with rubbish put into a waste bag and placed in the designated waste container.
As far as Covid-19 is concerned, more specifically, everyone bears their own responsibility and any consequences that Covid-19 may have for the booking are on their own account.
13. Complaints
Despite all the care of Warren Farm Accommodations it may occur that you have a genuine complaint. You must take up this complaint with us immediately, in order to allow us to solve the matter as soon as possible. Should the complaint not be settled to your satisfaction, then you have the option, up to 1 month after departure from the farm, to lodge the complaint in writing or by email with Warren Farm Accommodations.
14. Assumption of risks
Remember that you will be staying on a working farm with live animals and potentially dangerous farm equipment among other hazards. You should also be aware that some of the camp equipment (such as the bread oven) may be dangerous if misused. Whilst we take great care to keep you safe, accidents can happen, we are not responsible for such accidents (to the greatest extent permitted by law). It is your responsibility to supervise any children. If you notice that any equipment looks faulty and/or unsafe you must inform us as soon as possible. We strongly recommend that you take out travel insurance against the risk of accidents and your stay being cut short.
15. Day visitors
In principle, it is permitted to receive visitors during your stay. These visitors must be confirmed by the lead booker prior to the day visitors arrival.
16. General
These general terms and conditions are applicable to all reservations, directly or indirectly made with Warren Farm Accommodations. Alterations are reserved on the contents of our publications. Obvious errors do not bind us.
